The smallest practical system to avoid losing track of leads, visits, reservations, sold animals, and ad quality. Three tools only: WhatsApp labels, one short daily log, and one simple animal status list.

Main Rule

Barkat does not need a large system. It only needs a system that answers 5 questions every day: Who contacted us? Which leads are serious? Which leads need follow-up? Which animals are still available/reserved/sold? Are ads bringing serious buyers or only weak inquiries?

Part A — WhatsApp Labels (The Live Lead System)

6. Exact Meaning of Each Label

New Lead

A new inquiry that has not been fully qualified yet.

Serious

A lead that has shared enough detail and is worth active effort.

Visit Planned

A lead that is now in the visit-booking stage.

Reserved

A lead whose selected animal is now properly held.

Sold

A completed buyer.

Weak Lead

A poor-fit or low-intent inquiry.

No Reply

A lead who stopped replying after reasonable follow-up.

9. Exact Fields in the Daily Log

Use one small Google Sheet or one notebook page. 8 fields only:

Update the animal status immediately when an animal is truly reserved or sold. Do not leave a sold animal marked as available. Do not mark an animal reserved casually.

Part D — Exact Daily Operating Routine

Start of Day

  1. Open WhatsApp Business
  2. Check all unread chats
  3. Reply: Reserved first, then Visit Planned, Serious, New Lead
  4. Check which serious lead needs follow-up today
  5. Check if any animal status needs updating

During the Day

  • When a lead becomes serious → update label immediately
  • When a visit is planned → update label immediately
  • When an animal is reserved → update label + animal list
  • When an animal is sold → update both
  • If lead is clearly weak → label and stop wasting time

End of Day

  1. Count today's leads, serious, visits, reservations, sold
  2. Write one row in the daily log
  3. Check if any serious lead still needs follow-up tomorrow
  4. Check if any reserved/sold animal is still marked available

Do not rebuild the strategy every week.

Part G — Exact Owner Reaction Rules

React Quickly If:

  • Many leads coming in but very few become serious
  • Serious leads coming in but no visits happening
  • Visits happening but no reservations
  • One ad is clearly bringing only weak buyers
  • Serious chats are being left unanswered
  • Reserved animals still showing as available

Do NOT Panic Because:

  • One day was weak
  • One city was slow for a day
  • One lead disappeared
  • One ad had fewer messages for a short time

Act on patterns, not on one random bad day.

System Limit Rule

Do not make the system bigger than the business. Barkat is not a large farm with a team. Do not build multiple spreadsheets, detailed dashboards, heavy CRM workflows, or too many status layers.

But also do not run on memory only. Memory causes: missed follow-up, forgotten serious leads, wrong animal availability, confusion about reservations, and weak ad decisions.
